When should we start a project, and when is a normal thread enough?
A one-off task for one person is fine in a normal thread — do not create a project for a quote you are sending tomorrow. A project pays for itself on three signals, and one is enough: the topic has been coming back for weeks, several people work on it, or the same files circulate by email in three versions.
What do project members see?
Everything in it: the files, the history of conversations and the decisions. That is not a flaw, it is the point of a project — but it is worth remembering when you create one. Material that should stay between two people stays in a private thread, not in a team project.
Does a project replace Asana or Jira?
No. A project holds context, not deadlines — there is no board, no statuses and no reminders. You keep running tasks where you run them, and appto can create and update them through integrations.
Where does appto get knowledge inside a project?
From two places at once: the context of the whole company (price list, procedures, material connected at the organization level) and the files added to that specific project. That is why an answer inside a project is narrower and more concrete than in an ordinary chat — it stands on the material of that one case.
Do decisions get recorded automatically?
A decision can go into the project’s memory straight from the conversation, or you can write it in by hand. Either way you see what is recorded and can correct or delete it at any time — it is your list, not a black box.
What happens to a project that has ended?
You can put it to sleep or archive it. It disappears from the active list, but the history, files and decisions stay — and you come back to them when the same customer gets in touch six months later.
