It is not about the model — the same one runs in appto. It is that material pasted into ChatGPT or Claude lives in one conversation, on one account. The next person pastes their own version, usually an older one.

  • A pasted copy does not know the file changed. appto reads the source, so the next answer already uses the new version.
  • Context is nobody’s private conversation. It belongs to the company, has an owner and permissions — which is why two people get the same answer.
  • Documents do not wander onto personal accounts. They stay in your space, with version history and a visible author.

Before you connect anything

The usual doubts about giving AI assistants access to company knowledge. Got a different case? We will go through your material and say plainly what can be connected.

Do we have to tidy up our documents first?

No — and we advise against it. You point appto at the sources where they already are: a folder on Drive, a space in Notion, a channel in Slack. There is no migration and no moving files into a new system. It is best to start with one team and a few materials that genuinely keep coming up in everyday questions — context then grows along with use.

What happens when someone changes a document?

Material connected from a source refreshes automatically, so the next answer already uses the new version. Files uploaded straight into appto have versions, an update date and the author of the change. Either way there is one place to fix — nobody has to be retrained and nobody has to check who read the email.

Does the assistant read every document on every question?

No. Material is indexed, and for a specific question the assistant reaches for the fragments related to it — which is why an answer comes back fast even when the knowledge base runs to thousands of pages. Under the answer you see the list of sources it actually used.

Does every employee see all of the company’s knowledge?

No. Context is split into collections, and you assign each one to a team or to the whole organization. Salary bands can be available only to leadership and people ops, while the quote standard is open to all of sales. An assistant will never use material the person asking cannot access — permissions hold the same in a conversation as in the knowledge base.

What does the assistant do when something is not in the context?

It says plainly that it cannot find it, and shows what it does have instead. That matters more than it looks: a model without context will always answer something, and the most dangerous answer is one that sounds credible and rests on nothing. Questions that regularly end with no source are, incidentally, the best list of what is worth adding.

Do the AI models learn from our data?

No. Your documents and conversations are not used to train models, and data is processed on servers in the European Union. The subprocessor list and the technical details are described in our security section — together with how data is isolated between organizations.

How is this different from pasting documents into ChatGPT?

Not in the model — the same one runs underneath. A paste is private and one-off: only that one conversation knows the context, and the next person pastes their own, often older, version of the file. In appto the context belongs to the company: there is one of it, it has an owner, it refreshes from the source and it works the same for everyone who can access it. On top of that, documents do not wander onto personal accounts — they stay in the company space with a change history.
